Terms & Conditions
Please read these terms of sale carefully. They are contractually incorporated into
all ticket sales, and failure to abide by them could result in the cancellation of booked tickets
without refund. You must accept these terms before applying for tickets.
Dress is Black Tie for Gentlemen and Ball gowns for Ladies.
You must attend the Ball with your chosen guest. The only circumstances under which the name of
the Johnian applicant on a ticket may be changed is if two Johnians would like to attend the Ball
together and be on the same ticket; in this case, their guests are combined on to one double ticket.
Unaccompanied guests of Johnians will not be admitted to the Ball. Details on how to make such a swap
can be found in your online control panel.
You will be notified by email when your allocation of tickets has been decided, and be given details
on how to arrange payment. All payment should be made by 30th April.
Cheques drawn on British bank accounts are preferred, but other arrangements can be made if this is
not possible (for example foreign students without cheque books).
In the event of a bounced cheque, you will be charged any incidental bank costs plus £15 in
administration fees.
The outcome of each application will be confirmed by email in due course. All correspondence
will be by email with the Johnian applicant only. Communication pertaining to the alteration of your
tickets by any other party, including your guests, may lead us to temporarily suspend your
application pending a security check.
Details of ticket collection will be sent to you at a time nearer to the Ball.
Applicants should note that photographic proof of identity will be required both when
collecting tickets and when using those tickets to gain entry to the Ball. All of your guests
must also bring photographic identification with them to the Ball; failure to do this may result
in entry being denied and no refund being given.
Tickets are strictly non-transferable and non-refundable.
Entry to the Ball will be refused if those seeking entry are not those named on the ticket.
Persons under the age of 18 will not be admitted to the Ball.
Applicants should enter all names on tickets, online by logging in to the control panel.
All names should be entered by 30th April. The Committee
reserves the right to revoke the allocation and refund payment, or levy a fee, for any ticket without
names on by this date. Editing an existing name after this date will also incur a charge. The table
below outlines the fee schedule for changes made to names on tickets. All name changes will be subject
to this fee schedule, apart from the name of the Johnian applicant, which is not changeable. Correcting
of spelling mistakes will be made at no cost, up until the final deadline for all changes (see below).

All guest names must be updated by the last date in this list at the latest, and no refund will be made
in the event that this name is missing or the person cannot attend the ball. There will be no entry at
all for unnamed guests. The Committee will apply an administration charge for any other changes made to
tickets.
It is forbidden to advertise publicly any part of your ticket for sale. This includes, but is not
limited to: printed media, flyers, notices in any public place or private location to which a member of
the Committee may legally access, and any internet medium visible to any member of the Committee at
any time. Failure to abide by this condition will result in the voiding of all outstanding tickets
for that Johnian ticket holder, with no right of refund. No correspondence will be entered into in
these matters.
The St. John's College May Ball Committee reserves the right to refuse any application, and it is not
liable to make any refund of any ticket or any part of it if the Ball is cancelled due to any
circumstances whatsoever beyond its control.
We remind all applicants that tickets to this year's Ball are likely to be in heavy demand.
The Committee apologises in advance if it is not possible to allocate you all of the tickets
and/or upgrades requested. If you are not initially allocated the amount of tickets you requested,
it may be possible to place a part of your order on a waiting list for tickets, should another member
not fulfill the conditions of their ticket, or decide not to take their allocation; this facility will
be available only through the online ticket system.
The St. John's College May Ball Committee respects your privacy. By applying, you agree that the
Committee, their agents or their sponsors may use the data you submit, with the possible exception of
email addresses, in any way they deem necessary or appropriate. If you have expressly requested that
your email address be withheld, by indicating this preference during the initial electronic application,
then it will be used only by the Committee, and not given to any outside entities. All data transmitted
over the ticket subsite is encrypted using industry standard encryption for your security. Your data is
securely stored, manipulated, edited and used by the Committee on a private server outside of the
university network.
The St. John's College May Ball Committee hereby limits its liability to the purchase price of the ticket.
